Vision

To be a model for smart institutional registry services, ensuring the speed and accuracy of processing, maintaining, and archiving correspondence and documents, while supporting the fluidity of administrative work at the university.

Objectives

  1. Developing the correspondence, documentation, and archiving system according to modern and secure administrative methods.
  2. Accelerating the processing of transactions and official letters and improving the efficiency of administrative communication between university units.
  3. Transitioning towards a digital registry and reducing reliance on paper-based transactions.
  4. Ensuring the preservation of documents and records and their retrievability in accordance with governance and information security standards.
  5. Enhancing the quality of registry services and improving responsiveness to beneficiary units and entities.

Main Tasks

  • Receiving, registering, classifying, routing, and following up on correspondence, official letters, and administrative transactions.
  • Organizing the flow of documents and transactions between the university presidency, colleges, departments, units, and external entities.
  • Managing the central archive and maintaining, classifying, and archiving documents both in paper and digital formats according to approved guidelines.
  • Following up on the completion of transactions and correspondence to ensure they reach the concerned parties within specified timeframes.
  • Developing and automating the registry, correspondence, electronic signature, and archiving system.
  • Organizing meeting minutes, decisions, and official correspondence, maintaining them, and following up on the implementation of tasks related to the department.
  • Preparing reports and statistics regarding the movement of correspondence and transactions and measuring performance levels.
